Job Description

Responsible for assisting and coordinating the department of the Cabin Crew Manager. Create and maintain cabin crew personnel files and records. Update administrative directives. Maintain the cabin crew contact database. Receive cabin crew calls and coordinate support as required. Review, prepare and submit reports as required. Liaise and coordinate with other internal departments as required. Maintain the cabin crew personal filing system. Maintain and process disciplinary action as required.

Manage the smooth induction of new joining cabin crew through close liaison with training, licensing and crew planning.

KEY ACCOUNTABILITIES

Key Activities

  • Co-ordinate the In-Flight Services activities required to provide necessary assistance to all teams within Operations (Engineering, Airport Services, Flight Ops).
  • To process applications for new-joiners to GCAA for Licensing. Forward information/feedback on each candidate to In-Flight Services management if needed.
  • Inputting of data into various administrative systems as well as information from Deviation Reports in EFOS, AIMS and Excel Sheet
  • Organization of cabin crew uniforms and the allocation of re-issued items.
  • Ordering and stocking of Landing Cards/ In-Flight Documentation and various other resources needed.
  • In addition, maintaining the GCAA Master sheet for tracking GCAA Ref # by coordinating different departments NCC, Quality Assurance, Flight Support and saving the details of all GCAA Incoming/Outgoing letters to flydubai. This helps in tracking down and searching the letters from/to GCAA
  • To coordinate directly with the Aero medical clinic, Unicare and GCAA for Issue/Reissue/Renewal of Medical Certificates and reinstatements.
  • Sole Responsibility in the Preparation and management of Admin procedure document. 28 sections of day-to-day admin tasks, Joining formalities and GCAA Licensing procedures are explained in the manual. Useful for newly Joiner admin coordinators to learn the work pattern within the department.
  • Training new Admin coordinators in creating and maintaining cabin crew personnel files and records
  • To run Sickness reports on a weekly basis and following up the crew for sickness certificates.
  • Tracking of the due dates of cabin crew uniforms reissue and follow up emails sent to the crew informing the dates of fitting and collection of uniform kits from the suppliers. Coordinate and consult with procurement team and suppliers to ensure consistency in the delivery of uniforms. New order for the Uniforms/Accessories is made. Assisting crew to maintain the uniform and accessories up to the grooming standards. Keep records of the faulty items from the suppliers and inform procurement of the uniform/accessories complaints.
  • To run Crew Expiry reports for Passport & Visa which is generated from 3 months to 9 months in advance and reminder emails/calls are sent informing crew of the same.
  • Actively participating in the internal auditing within the department and also involving in reviewing the current processes
  • Coordinating with  the station managers, airport staff and suppliers for the delivery of Landing cards to ensure the smooth distribution of Landing cards
  • Handling of Cabin Crew Resignation formalities. Also maintains crew records and interacts with HR in cases of Maternity leave, Unpaid leave etc

Minimum Qualification

  • GCSE equivalent

Experience

  • Minimum 02 years’ experience in a similar or Operations based role (airline or aviation focused) preferential
