Job Description

Plan and control all administrative processes for Emirates SkyCargo ensuring the smooth and efficient day to day running of the section by effectively co-ordinating activities and streamlining the flow of information, in order to: Maximise resource productivity and efficiency by effective resource planning and allocation. Produce monthly staff schedules and rosters for multiple departments across Operations and Customer Services. Ensure that all Emirates flights are assigned Load Masters in accordance with Company and regulatory rules and staff are accurately informed of their scheduled duties in advance to avoid Operational disruption and commercial impact.

 Job Outline:

  • Manage the efficient maintenance of personnel systems and records for all staff within the Department, such as leave planning, sickness, industrial injury, promotion, performance feedback, disciplinary action, appreciations and Najms, attendance exception reporting, performance exception reporting etc., capturing related data on a continuous basis, and developing the same into useable information. Analyse the data against pre-determined limits/benchmarks and Company regulation. Work closely with internal and partner departments to ensure effective use of resources.
  • Resource Management - Plan, prepare and distribute the duty rosters for Permanent and Contracted staff using department relevant systems and in accordance with relevant department roster planning policies and regulations. In liaison with the management, manage staff movements in order to cover operation requirements, monitor staffing levels on a daily basis, arrange replacement or redeployment of staff to cover emergency leave, injury, illness, training etc. track shift swaps and change requests.
  • Proactively address shift and daily roster changes and manage immediate operational staffing issues in order to maintain service levels and to ensure impact on customer service across the different areas of operations is kept to a minimum.
  • Co-ordinate with respective Manager's/Controller's on regular basis changes in pre-assigned management requirements (Emergency leave, long sickness and removal from the roster etc). Audit the roster and manpower solutions for quality checks before publication in order to reduce inefficiency after the roster publication and to make adjustments in the rosters as needed and on time.
  • Manage a team of resource allocators, ensure communication regularly with Duty Officer/Controllers/Managers to identify staff attendance issues, potential impact on the business, and recommend best alternative to recover from the situation.
  • Load Master Scheduling and Customer Claims - Generate monthly Load Master Roster plan and liaise with a variety of stakeholders across the company to ensure that Load Masters are always rostered and freighter operation is not affected by lack of Load Masters.
  • Manage day of operations changes and related requests from all areas across the network. Advise Freighter operations, Network Control, hub and out-stations of any exceptional events such as load changes, duty time violation, equipment type changes, schedule changes, loading difficulties, and qualification of Load Master. Work with all parties to rectify the situation given the constraints.
  • Responsible to assign crew for Load Master Duties ensuring that all crew comply with mandatory training legalities and company requirements. Ensure that load masters are assigned trips based on their qualifications, experience, balanced workload. Recommend alternative solutions, if necessary, to their flying and office duties in accordance with their requirements, to avoid conflict with mandatory legalities or company policies and reduced productivity.
  • Review, investigate and evaluate all customer financial claims from Dubai that have resulted due to mishandling that occurred during the contract of carriage resulting in delay, damage and/or loss of the goods carried. Ensure investigation is fair while keeping company interest in mind.
  • Deal with customer complaints regarding their claims. In the event of a conflict between customers and Company policy, the job holder should be able to resolve the situation through available means of communication without jeopardizing customer goodwill or business.

Qualifications & Experience

  • Logistics/Cargo.Other : 3+ Years
  • Degree or Honours (12+3 or equivalent) :
  • Administrative experience in an operational environment.
  • Operations experience, resource planning, rostering and allocation experience preferred.

Knowledge/skills:

  • Knowledge of roster planning and resource allocation is preferred.
  • Knowledge of rules governing customer claims is preferred.
  • A thorough and complete knowledge and understanding of computer applications i.e. MS Office packages is required and HR packages such as ETHOS, HR Direct, TRIPS and HR Review is preferred.
  • Other languages besides English: 1. Knowledge of Arabic, Hindi, Urdu, and Malayalam is advantageous.
