Boeing Singapore Training and Flight Services is looking for a Flight Training (FT) Administrator based in Singapore to assist the flight training team to assure smooth delivery of flight training courses in Singapore and elsewhere in the Asia Pacific Region. The FT Administrator is responsible for training course set up, student processing and course record keeping. Coordinates and processes international business travel arrangements, monitors business travel logistics for instructors, and processes instructor Time and Expense Reports. Assists the Instructor Pilot Schedulers with other duties as needed.

The FT Administrator assists the Head of Training by tracking and maintaining information relative to department and business operations. Performs other duties and recordkeeping tasks as required by Flight Training management. And processes incoming and outgoing communication and correspondence to ensure proper dissemination of information. Coordinates with the appropriate source to support the acquisition and maintenance of resources and supplies. In addition, he/ she must have the ability to perform all duties with limited supervision and guidance.

Position Responsibilities (include, but not limited to):

  • Monitor customer training schedules and ensure all administrative items relating to training are arranged in readiness for the training session
  • Maintain, record and file student master records
  • Serve as Records and Information Management Focal
  • Serve as FT Records Focal
  • Maintain and process electronic and paper records
  • Record and process any First Pass Quality items
  • Monitor flight training courseware and CBT assignments for accuracy of revision status and course assignments
  • Liaise with customers to ensure timely processing of customer record copies
  • Report any customer training problems or conflicts to Flight Training management
  • Reconcile and process accommodation and travel invoices
  • Process instructor Time and Expense Reports
  • Raise and process all requisitions for Flight Training
  • Monitor company equipment distribution and return
  • Coordinate timely resupply of training materials and various supplies
  • Act as secretary at weekly FT meetings, records and processes meeting minutes
  • Assist Students with Training Visa applications
  • Other duties as assigned by the Head of Training or FT managers

Basic Qualifications (Skill/Experience):

  • Organization and Accomplishment - Plans, prioritizes, completes work efficiently; manages multiple tasks simultaneously while achieving expected amount and quality of work
  • Proficient - with Microsoft Office Suite and has the ability to master other software and operating systems
  • Collaboration - Works together with others by incorporating ideas, suggestions and advice while respecting others' viewpoints, opinions, backgrounds and styles
  • Customer Focus- Demonstrates a sense of urgency when working with both internal and external customers; available and responsive to client needs and wants, seeks opportunities to satisfy customer expectations

Preferred Qualifications (Desired Skills/Experience):

  • Academic qualification equivalent to “O” and “A” Levels
  • Minimum 5 years’ experience in office operations such as administration, record keeping, operations management, claims, accounting, data entry, etc.
  • Communication - Manages effective flow of information; uses appropriate style, grammar and tone in both written and verbal communication
  • Self-Development - Maintains exacting standards and levels of achievement. Actively participates in self-development activities
