Job overview and responsibilities

United Airlines seeks a specialist to support the Advertising and Social Media team’s operations, budget management and vendor relationships. This administrative role will support the team’s efforts in developing content and campaigns to promote United and build brand consideration and preference.

A high level of organization and ability to manage multiple tasks in a deadline-drive environment are important skills for the position. A customer service mindset is essential as we strive to always provide support and timely responses to internal business stakeholders and external partners.

  • Budget management: Help manage cost estimates, invoice approvals and accruals as part of monthly financial cycle and forecasting
  • Vendor relationships: Distribute and process forms to set up new vendors and social media influencers in our accounts payable system for billing
  • Travel bookings: Coordinate itineraries, flights, mile transfers and hotels for vendor and social media influencer travel
  • Contracts: Organize statement of work contracts, master service agreements, project estimates and vendor and influencer lists in Microsoft Sharepoint
  • Expenses: Process expense reports for ongoing charges, including flight ticket taxes, hotel bookings and software and technology subscriptions

This position is offered on local terms and conditions. Expatriate assignments and sponsorship for employment visas, even on a time-limited visa status, will not be awarded.

Required 

  • Bachelor's degree
  • At least 2 years of full-time experience in operations, office management or administrative support
  • Experience managing budgets and vendors, including estimates, billings and accruals
  • Strong attention to detail
  • Strong organization skills
  • Good written communication skills
  • Ability to communicate concisely with colleagues and external vendors and partners
  • Self-starter who can work independently
  • Ease with working in a fast-paced, deadline-driven environment
  • Proficiency in Microsoft Excel, PowerPoint, Sharepoint and Teams
  • Must be legally authorized to work in India for any employer without sponsorship
  • Must be fluent in English (written and spoken)
  • Successful completion of interview required to meet job qualification
  • Reliable, punctual attendance is an essential function of the position

Preferred

  • Experience with Coupa or similar accounts payable software
  • Experience with Oracle iExpense or similar expense processing software
  • Experience working with online travel booking tools
