Job Description

As Training Coordinator, you will be responsible for coordinating and communicating all training-related matters across QDFC by effectively coordinating all administration and logistic requirements. This includes delivering basic training interventions, producing and issuing training schedules, maintaining accurate records, coordinating availability for training, creating reports, external vendor cordination and highlighting any areas of concern/trends to Manager Training and Development for further discussion and action.

Key Accountabilities include but are not limited to:

  • Act as QDF Training & Development brand ambassador fostering a positive and welcoming environment for all new joiners and learners, whilst ensuring associated tasks are completed in an organized and efficient manner.
  • Schedule and communicate mandatory/requested courses by liaising with QR and QDF departments to ensure a smooth end-user experience.
  • Be the first point of contact for all training confirmations, cancellations or queries through QDF Training & Development dedicated email system, phone or online (Yammer etc.)
  • Track and monitor all course bookings and promote where necessary ahead of time to ensure maximum course attendance in line with agreed yearly targets.
  • Organize and update all training data on QR LMS and QDF training database promptly, ensuring all information is accurate and well maintained.
  • Provide business documentation support, including report writing, presentation creation, spreadsheet preparation and distribution in the required timelines.
  • Support and coordinate training events including logistics, attendee nominations, resources and equipment as required to achieve efficient training attendance and delivery.
  • Conduct monthly training stock inventories and order training materials, stationery (and other resources, as necessary) to ensure correct stock levels are always maintained.
  • Liaise and coordinate with external brands and suppliers trainers on routine training for QDF staff, meet and support visiting brand trainers to ensure a smooth training experience throughout the visit.
  • Assist in planning and preparing for internal meetings, including preparing agendas and invites, setting up room requirements, taking meeting minutes, distributing documentation as appropriate and other tasks as necessary.
  • Communicate and provide course nomination and registration information, L&D policies and procedures, joining instructions by relevant method (email/telephone) to enable department operations and effective service across QDF.
  • Update/follow up with respective departments/stakeholders on training logistics arrangements such as answering correspondence, setting up conference/workshops, explaining policies, coordinating support service and maintaining a quick and accurate response to contribute to a smooth training experience for trainer and participants.
  • Coordinate in designing training related information onto Yammer and other QR approved sites to enhance the learners' experience.

Qualifications

About you

The successful candidate will have the following qualifications and skills:

  • Bachelor’s Degree or Equivalent with Minimum 2 years of job-related experience; or
  • High School Qualification / Vocational Qualification /Diploma or Equivalent with Minimum 3 years of job-related experience
  • Excellent spoken and written communication skills in English language
  • Strong attention to detail and excellent organisational skills
  • Well-developed interpersonal skills
  • Strong problem solver and proactive style
  • Sounds knowledge of MS Word, MS Excel and MS Power Point
