Job Description


The Deputy Operations Coordinator is responsible for assisting the Operations Coordinator in the day-to-day planning and administration of Qatar based Flight Operations, Technical Administration of Crews and the day-to-day Management of Ground Operations.

Key Responsibilities and Accountabilities

Description

  • Ensuring all Operations Staff is aware of Company HSE and Flight Safety Policies and responsibilities.
  • Work closely with Air Safety Officer to ensure application of Company Safety Procedures and development of enhanced procedures where required in relation to Ground Operations.
  • Provide active feed-back to Air Safety Officer and Operations Manager to enable address of Ground Crew safety concerns and observations.
  • Reporting areas of staff and client dissatisfaction to the Operations Manager
  • Management and control of all Ground Functions in support of Flight Operations and in particular:
  • Development and implementation of efficient support procedures
  • Ensuring Compliance Monitoring Control and standards
  • Ensuring adequate staffing, equipment and resources
  • Ensuring properly trained staff
  • Conducting periodic efficiency and compliance checks
  • Addressing reported areas of Non-Compliance
  • Terminal building maintenance, security and efficiency
  • Day to day Management of Flight Operations and in particular:
      • Scheduling and assigning of duties to flight crews
      • Ensuring allocated crews are suitably qualified in accordance with Client Contract requirements
      • Client aircraft allocations in accordance with contractual requirements
      • Coordination of engineering requirements
      • Ensure crew processing of Air Safety and Voyage Reports
      • Monitoring of Pilot Flight and Duty Limitations
      • Update and monitor the accuracy of all operational information promulgated in support of Flight Operations including, but not limited to:
      • Revision and updating of Aircraft Documentation Jeppessen and Flight Manual amendments
      • Amend, update and issue of Rig Maps and Coordinates Sheet
      • In consultation with SQSC, update and amend the Helicopter Landing (Helideck) Site Directory.
      • Update and monitor the accuracy of ARMS including, but not limited to:
      • Amend and update Rig Positions in the Falcon/ARMS System
      • Amend and update Aircraft APS weights in the Falcon/ARMS System.
      • Maintain and update Ground Operations Manual, including amendments and submission to QCAA for necessary approvals.
  • Assume responsibilities of Electronic Flight Bag (EFB) Administrator and in particular:
  • Maintain practical operating procedures and the supervision of continued safe reliance on the EFB.
  • Be responsible for training users on initial receipt of iPad, and any subsequent or recurrent training required as the system develops.
  • Ensure that individual users comply with Company EFB policy, and ensure that it is up to date with the latest software releases and Company data.
  • Liaise with IT concerning hardware and software upgrades and general system functions/problems/developments.
  • Carry out periodic reviews of the EFB in accordance with Company Compliance procedures to ensure continued suitability for purpose and system integrity.
  • Incorporate any changes within Company EFB procedures.
  • Handling of internal audits including QCAA planned audits.
  • Any other duties assigned by Ops Management

  • Number of customer complaints
  • Number of Safety issues encountered and not solved within set time frame
  • Time delay due to actions of ground staff
  • Number of issues related to management of flight operations (e.g. clashes with scheduling of flight crews etc)

Qualifications, Experience & Skills

Qualifications:

  • Relevant degree or professional certificates will be an advantage.
  • Experience:
  • Minimum of 5 years of relevant experience with 2 years in a supervisory role

Job-Specific Skills:

  • Computer literate in standard office packages
  • Fluency in English
  • Dangerous Goods Training
  • Management skills

  • Authorize the daily flying schedules/programs

  • Approve Pilot roster
  • Recommend possible new recruits to the Managing Pilot
  • Administration of Crew Leave Planner and approval of leave requests.
