Job Description

At Aurora Aviation, we are seeking a colleague for the role of Flight Operations Officer to coordinate day-to-day flight operations in accordance with company regulations, requirements, and SOPs ensuring overall customer satisfaction and quality service through improvements in project execution processes, systems, governance, and service standards of Aurora Aviation SA.

Flight Operations:

  • Accurately recording and rapidly processing customer requests in accordance with statutory requirements and company policy;
  • Flight planning & dispatch;
  • Create the Sales Order in SAP, Create the PO in SAP
  • Processing all landing, overflights & block Permits, Slots, and PPR approvals for VVIP / VIP / PRIVATE & COMMERCIAL FLIGHT / CARGO / AMBULANCE / FERRY FLIGHT / UN/ MILITARY FLIGHTS through the designated Civil Aviation Authorities or Appointed local handling companies in prescribed countries;
  • Advising and guiding the clients on their flight clearances requirements;
  • Advising and guiding the client on ground handling arrangement, inform the client about any irregular situation
  • Following up on flights movement and keeping the clients updated throughout the flight;
  • Analysing and interpreting a variety of weather reports, charts, and forecasts, and communicating advisories to Flight Crews as necessary;
  • To report all diversions from the flight schedule or other emergency situations to the Director of Operations. Insert necessary information into the system during the shift. Write all irregular situations into the Handover report and Incident Report.

Ground Handling:

  • Ground handling set up and coordination (i.e. Catering, hotel bookings, ground transportation for the crew either directly or through appointed local handling companies in prescribed countries; fuel coordination with the ground operation and fuel ops departments);
  • Advising and guiding the clients regarding any airport restrictions, NOTAMS, Parking constraints, etc.).
  • Timely send information and messages during the shift about movements/LDM/delay/re-routing/ etc to ATC, Clients, departure/destination airports/handler representatives, and third parties supporting aircraft handling

Fuel Operations:

  • Accurately recording and rapidly processing of all fuel requests/authorizations from the clients in accordance with statutory requirements and company policy;
  • Leasing with contracted or appointed suppliers/agents for all fuel arrangements;
  • Planning and scheduling fuel deliveries for customers worldwide (ad-hoc and scheduled flights)
  • Providing all fuel-related information (i.e. fuel availability, NOTAM or any restrictions, flight movement, etc.) to the customers/operators that may affect the operations.

General Responsibilities:

  • Coordinating specific Flight Crew requests in a timely and efficient manner; responding with options (when appropriate) to ensure the crews’ needs are met or exceeded;
  • Working effectively with internal and external customers, as well as peers and management, to provide safe and efficient airlift support services to Flight Crews and customers;
  • Co-ordinating with the Accounts Department whether the client has done the pending payments in order to release the permit to the client;
  • Assisting the managerial team in investigating complaints or deficiencies relating to the operations department, responding accordingly and promptly, and providing feedback on issues that arise in the normal course of operation.
  • Protects organization's value by keeping information confidential;
  • Obtain necessary authority for expenses and record same in line with Company Policy; undertake any reasonable duties as specified by CEO and Managing Director.

Qualification and Experience:

  • Educated to a degree level or equivalent
  • 2 years of experience as Flight Operations Officer preferably in Aviation Operations
  • Must be fluent in English (written and verbally)

Critical Knowledge, Skills, and Abilities (KSAs):

  • Effective verbal and written communication on all levels and both internally and externally;
  • Customer-orientated approach with an outstanding level of customer service skills and experience in meeting needs of VIPs;
  • Knowledge of World Geography;
  • Proficiency in Microsoft Office suites i.e. MS Word, Excel, Outlook;
