Job Description

Main Objectives

To plan, organize, direct and control all the services in the Housing, Motor Transport, General Maintenance, Mail, Printing, Projects and Project related matters at Gulf Air Headquarters and all GF Outstations for the smooth functioning.

To develop and implement a facility management program including preventative maintenance and life-cycle requirements

To manage and lead the Facility Management Department to ensure GF Facility Management vision is achieved through an effective business alignment of the Facility Management Department and with other Business units.

Main Duties

  • Review and update the department policies and procedures to ensure up-to-date and efficient practice in all the functional units. (Renting and furnishing of company accommodation, Motor Transport, Mail Office, Printing General Maintenance and construction & Renovation Projects of GF building and offices).
  • Prepare project plan presentation and department’s annual operating and capital budget to cover the cost of services and projects based on company requirement at HQ and outstations.
  • Negotiate and approve the contracts/agreements of staff accommodation, office premises, land and buildings and invoices or housing (within the limit), functioning, maintenance and cleaning of GF buildings.
  • Negotiate contracts to optimize delivery and cost saving.
  • Coordinate and monitor activities of contract suppliers and manage contractor and vendor relationships
  • Review the performance of the contractors to ensure services provided are in accordance with the standards of building construction, housing maintenance, transport maintenance and cleaning required by GF. 
  • Review and approve the feasibility studies regarding expansions and renovations of buildings and offices at HQ and outstations as required by managements.
  • Attend the steering committee for projects to provide explanations and technical advice with drawings of building and renovation projects to management before approval.
  • Ensure the efficiency of motor transport service to GF personnel and crew to avoid disruptions or delays to flights and staff attendance.
  • Review the efficiency of mail and courier services to ensure to timely delivery of company mail.
  • Control & manage in-house printing service and utilize maximum capacity of the press to ensure the printing of forms, manuals and other text materials are printed in house to ensure that confidential printed matters of the company are accomplished in confidential way and delivered to departments on time.
  • Approve sale of second-hand furniture and vehicles.
  • Approve supply of contractor labourers and messengers as and when required by company departments.
  • Prepare monthly and annual reports of the department activities.
  • Coordinate with the legal department for all agreements and contracts are being made as per the standard norms and in conformity with the BTB procedures and policies.
  • Exercise effective management of the department staff in terms of recruiting, motivating, performance and discipline.
  • Authorize lease agreement for crew accommodation, offices and GF offices at HQ and Outstations and controls all the projects taken by GF.
  • Review and control archiving and destroying of confidential GF documents.
  • Review and control the SL/OT/Absenteeism of employees and set KPI for all the staff in the Department.
  • Control and monitor all the projects related facility management taken up by GF.
  • Approve annual leave for the staff and duty travel, if require.
  • Conduct weekly meetings to ensure the efficiency and capabilities of each section heads and prepare MIS and progress report for the Department.

Education & Training

  • University degree in Civil engineering, Facilities Management, or related qualification.
  • Knowledge of principles and practices of project management.
  • Solid computer and systems knowledge.

Experience

  • Excellent management skills and experience in at least two of the functional areas, with a minimum of 10 years’ experience.
  • Experience in construction, maintenance and all facets of facility operation.
  • Working knowledge of financial principles and practices.
  • Working knowledge of electrical and mechanical systems.
  • Working knowledge of procurement and contracts
